1.Subject Line :

Short and clear : Be Specific , but Concise and Clear . Subject Line is Six to Ten Words Long.

Example : "Meeting Request for Project Update – October 2024"

                   "Application for the Position of Sales Executive"

2.Salutation (Namaste ya Abhivaadan): 

Dear{first name }

Dear MR/MS{last name }

Hello MS/MR{last name }

Good Morning {first name}̇̇̇̇̇̇̇̇̇̇

Example:

  • "Dear Mr. Sharma,"
  • "Respected Sir/Madam,"
  • "Hello [Name],"

  • 3.Opening Line (Prarambhik Rekha):
  • I hope you are doing well .
  • I hope you enjoyed your weekend. 
  • Thanks For the quick response.
  • I hope this email finds you well. 


  • 4. Body (Mukhya Content):
  • Be Clear and Concise:Aapko jo baat karni hai, use clear aur direct tarike se likhein. Zyada lambi baatein ya irrelevant information avoid karein.
  • Use Paragraphs: Agar aap multiple points discuss kar rahe hain, toh har point ke liye ek alag paragraph likhein.

  • Example:
  • Introduction: "I am writing to inform you about the upcoming project meeting scheduled for October 15, 2024."
  • Main Point: "The agenda of the meeting will include a review of the project progress, budget allocation, and discussion of next steps."
  • Call to Action (CTO): "Kindly confirm your availability for the meeting by Friday."
  • I'm getting back to you about ...
  • As discussed...
  • I'm writing to follow up on our last conversation 
  • I wanted to get in touch to 


  • 5. Closing Line (Samapan Rekha):

  • Email ka samapan ek courteous note ke saath karein.
  • Example:
    • "I look forward to your response."
    • "Please let me know if you need any further information."
    • "Thank you for your time and consideration."
    • Please advise as necessary 
    • Please feel free to contact me 
  • 6. Sign-Off (Samapan Ka Tarika):

    • Email ko formally close karna zaroori hota hai. Kuch common sign-offs hain:
      • "Best regards,"
      • "Sincerely,"
      • "Kind regards,"
      • "Thank you,"


  • 7. Signature (Aapka Naam aur Details):

    • Professional emails ke end mein aapka naam, designation, aur contact details dena zaroori hai.
    • Example:
